Job description:
As a Procurement Officer at Coptic Hospital you will play a critical role in ensuring the efficient and cost-effective procurement of goods and services to support our operations. You will be responsible for managing the procurement process, vendor relationships, and ensuring that our procurement practices are in line with industry standards and company policies.

Key Responsibilities:

–  Maintain standards of operation in line with Hospital policies and protocols.

–  Analyze the purchase request from the user department and determine the appropriate
method of procurement, Quotation, tender and request for proposal.

–  Provide assistance to user department when required in preparation of specifications.

–  Collaborate with the Logistics Manager in preparing specifications for quotations,
tenders, proposals and supply agreements in a clear and concise manner.

–  Use judgment, diplomacy and confidentiality with respect to the complete procurement

–  Ensure that all documents are kept current and complete confer with suppliers
regarding delivery, ensure that the requirements are met.

–  Arrange for samples, testing and evaluation of new products.

–  Contribute to the development and formulation of purchasing procedure and practices
as required.

–  Participate in periodical reporting process, including monitoring and tracking of
Hospital’s procurement activities.

–  Perform audits and analysis of procurement purchases to identify problem areas and or
high usage commodities where pricing agreement may benefit the organization.

–  Help Nursing and Housekeeping department on the movements of the Hospital linen and also conducting weekly or quarterly stock taking in all the departments.

–  Work hand in hand with the following departments/sections Housekeeping, IT, Laundry, Kitchen, Cafeteria and Pharmacy whenever orderings are being made.


–  Bachelor’s degree/ Diploma in Business, Supply Chain Management, Procurement, Purchasing or a related field.

–  Proven experience as a Procurement Officer or in a similar role.

–  Strong negotiation and communication skills.

–  Excellent knowledge of procurement regulations and best practices.

–  Proficiency in procurement software and Microsoft Office.

–  Attention to detail and strong analytical abilities.

–  Ability to work independently and as part of a team.

–  Must be a Registered member of Zambia Institute of Purchasing and Supply(ZIPS)
